How We Built a Customer Support Inbox for a Fraction of Intercom's Cost

March 2026 Oyefeso Afolabi, Founder

There is a moment in every growing team's life where the tools they trusted begin to work against them. Intercom is a great product. It is also an expensive one, and not by accident.

That tension is what Renprofile was built to resolve.

The Per-Seat Problem

Intercom's pricing is built on a simple premise: as your team grows, your bill grows with it. Every new agent added to your support queue adds to your monthly cost. At five seats it is manageable. At fifteen it becomes a decision.

Most small teams do not think about this early enough. They adopt the tool during a period of optimism, when headcount is low and the product feels worth it. Then they scale. The invoice scales with them. By the time the cost becomes painful, switching feels harder than staying.

This is not a bug in Intercom's model. It is the model.

The per-seat structure makes sense for a company selling to enterprises with procurement budgets and annual contracts. It does not make sense for a seed-stage team trying to keep burn low while delivering excellent customer support.

The Notion to Build

We did not set out to compete with Intercom. We set out to solve a simpler problem.

Businesses managing customer conversations across multiple channels, WhatsApp, email, Instagram, live chat, were losing control not because they lacked effort but because they lacked structure. Messages were slipping through. Conversations were duplicated. Nobody owned the follow-up.

The insight was not complicated. Teams need one place where every customer conversation lives, is assigned, and is resolved. Not five apps open in five tabs.

What followed was a decision to build a shared omnichannel inbox with flat-rate pricing. No per-seat tax. No scaling penalty. A team of three and a team of fifteen pay the same rate. The cost of growing your support operation should not grow faster than your revenue.

That constraint shaped everything we built.

The Shift

Renprofile's Starter plan is $15 per month. Growth is $45. Both are flat.

For teams coming off Intercom, the difference is not marginal. A team of ten agents on Intercom's base plan can spend several hundred dollars monthly before add-ons. The same team on Renprofile spends $45.

But the more important shift is structural. When pricing no longer punishes growth, teams make different decisions. They add agents without hesitation. They assign ownership clearly. They respond faster because the system supports it.

We also built Rian, a native AI agent that sits inside the inbox. It handles the first layer of inbound conversations, trained on internal context, so replies stay relevant without requiring a human to be present every minute. Not automation for its own sake. Intelligent assistance that holds the line while your team focuses on what actually needs them.

The result is a support operation that costs less, runs cleaner, and does not require a procurement meeting every time you hire.

Renprofile is available now. Starter at $15 per month. Growth at $45. No per-seat pricing. No surprises.
